Business Proposal Specialist

POSITION SUMMARY:

Under direction of the Director of Sales Operations, this position works collaboratively with members of Xcenda’s Service Line, Contracts, Compliance, Project Operations, and Finance Teams to ensure the timely and accurate development, critical review, revision, and submission of compliant responses to Requests for Proposals (RFPs), Requests for Information (RFIs), proposals, statements of work, and other business development documents.

PRIMARY DUTIES AND RESPONSIBILITIES:

    1. Review RFPs/RFIs received from prospective clients and identify the information required to develop a strategic, comprehensive, and compliant response/proposal
    2. Proactively assist in the development of proposals from a tactical perspective, including, but not limited to: development of project plan/required timeline, assemble correct response team and develop response strategy with input from main Client Strategist or Service Line Lead, assignment of responsibilities based on areas of expertise, manage team in producing draft response, perform quality reviews directly, coordinate strategic reviews with subject area experts, oversee final production and ensure submission of proposal within required timeline
    3. Develop and maintain a database of key Xcenda information for use in proposals and RFP/RFI responses.
    4. Customize such information as needed for each specific response, creating the most compelling approach and messages for presenting Xcenda’s capabilities
    5. Critically review and edit proposals written by Xcenda Client Strategists, Service Line Leads, or their delegates to assess for/ensure clarity of approach, risk and scope management, sound budgeting and invoicing, and adherence to client compliance and contracting terms. Serve as a resource to Xcenda associates regarding these factors
    6. Provide overflow support for Contracting activities including drafting and critical review and revision of statements of work and addendums to interpret and influence performance requirements, delivery obligations, timelines, costs and payment schedules with the goal of minimizing Xcenda’s exposure to risk
    7. Update and maintain worktype-specific response/proposal templates with current standard language as well as indicate which area(s) need to be customized by others assigned to write the proposal
    8. Assist in efforts to communicate the RFP response development process guidelines and requirements and provide training and guidance to ensure compliance amongst internal stakeholders
    9. Work to refine proposal content, look and feel, and to gather competitive intelligence, when available
    10. Resolve content and context inconsistencies to ensure proposal information utilized by Xcenda associates remains relevant and accurate
    11. Comply with all appropriate policies, procedures, safety rules, and regulations

EXPERIENCE AND EDUCATIONAL REQUIREMENTS:

Requires 2 to 3+ years of experience in preparing proposals and RFP responses in the healthcare or consulting environment. Requires experience in business administration, sales, marketing, communications, technical writing, project management or similar vocations. Requires a Bachelor’s Degree.
